Export

The export option allows the ability to extract the data into flat file format for loading into the EMIS-R Data Collector. The user will select the fiscal year and reporting period for which they are extracting data. When the reporting period is selected, the record types that are valid for that reporting period are automatically selected for Exporting (check boxes are marked).

If the incorrect Fiscal Year is selected for the Export, the data in the resulting extraction file will NOT be processed by the EMIS-R Data Collector.  The fiscal year in the extraction file must match the fiscal year of the Manifest in the Data Collector in order for the data to be processed.

If you do not wish to extract all of the selected record types, you may uncheck the boxes for the record types you do not wish to include in the extraction. There is also an Uncheck All option at the bottom of the page that allows you to uncheck all the record types and then you can check the record type you wish to extract.

Once you have the appropriate record types selected, click on the Export button to begin the extraction process. When the Export button is clicked, a popup window will appear asking what should be done with the file, Open it or Save it:

The "Save" option should be selected allowing the extraction file to be saved to a location that you will specify in the next step. Once you click on OK for the "Save" option, you will then receive another popup window that will allow you to change the name of the output file, if desired, and specify the location to save/store the file.

The extraction file may then be transferred to the appropriate EMIS-R directory for Flat File processing. For details on uploading the Flat File extraction into the Data Collector, please refer to the Data Collector User Guide, Chapter 4 found from ODE's EMIS Redesign web site.

Preid Export

The Preid Export option provides the ability to create an OGT and Achievement Preid file that can be submitted via the TIDE website.

The minimum data files needed in EMISFFE to generate a valid Preid file are:

  • Student Demographic (GI)
  • Student Standing (FS)
  • Student Attribute No Date (FN)
  • Student Attribute Effective Date (FD)
  • OGT data (GX)

Districts wishing to include Course information will need additional data files:

  • Student Course (GN)
  • Staff Course (CN)
  • Staff Demographic (CI)

The Preid Export option is located below the Import option in the EMISFFE application.

Once selected it will take you to the Preid Options page:

The options are explained below:

*Achievement - Create Achievement Pre Id export including all students in selected grade range
*3rd Grade Reading Achievement - Create Achievement Pre Id export including only students in 3rd Grade Reading
*OGT - Create OGT Pre Id export

Only students in this grade level range will get included in Pre Id extract file. This is only available when achievement is selected as test type option.

Select Students Required to be Assessed to only include those students who still need to take one or more tests. If All Students(10th grade) is selected it will include all 10th graders regardless of whether they need to be assessed.

Select Yes to use current grade level of student to extract students. If No is selected the grade level next year will be used instead.

Select Yes to include JVS students in the extracted file.

Select Yes to include ESC students in the extracted file.

Select Yes to include Contracted Vocational Students going elsewhere in the extracted file.

Select Yes to include Contracted Vocational Students coming to the district in the extracted file.

Select Yes if you would like to include Course information(Course name and Teacher Name) included in the extracted file.

Once you are satisfied with the options selected, click on the Export button to begin the extraction process. When the Export button is clicked, a popup window will appear asking what should be done with the file, Open it or Save it.
