Creating your own custom dashboard allows you to create various filters for many of the projects provided in JIRA such as USAS-R, USPS-R, Inventory, Workflows, ITC-M and their feedback projects. 

As of November 24th, 2023, Jira and Jira Service Desk migrated to a cloud based instance.  Any customized dashboard you created in Jira prior to migration will not transfer to the cloud-based JIRA.  You will need to recreate your custom dashboard(s) in the cloud-based instance of JIRA.

Logging into JIRA

  • When accessing the JIRA Dashboards link, https://mcoecn.atlassian.net/jira/dashboards/10000 you will be taken to the default system dashboard. You must log into JIRA in order to create a custom dashboard and filters.  Use the Icon to the far right of the page to log in.
  • If you have already logged into the cloud-based Confluence Wiki (by creating an Atlassian account), you will use the same login information for the cloud-based JIRA/JIRA Service Desk. 
  • If you have not logged into the cloud-based Confluence Wiki (you have NOT created an Atlassian account yet), when logging into the Jira Dashboard, the username will be your MCOECN AD account email.  The first time you log, you will be required to create a password.  Please save your newly created password as you can use it interchangeably between the Wiki and JIRA/JIRA Service Desk. Once logged in, it will automatically display the default dashboard. 
  • However, before you create a separate custom dashboard, let’s create some filters on various State Software projects that will eventually be added to your dashboard.

Creating Filters

Currently, you are able to create filters on all State Software projects except for the Service Desk project.

The ability to create a filter for service desk tickets under your ITC's service desk organization is not available.  We are currently looking into this.

  • After logging into JIRA, near the top of the page, on the main menu , click on the drop down to the right of 'Filters' and select ‘View all filters’.  There are several pre-defined filters created by SSDT that will be displayed. However, you will be creating personal filters that are private to you.  Others will not be able to see your filters.  In order to create a personal filter, click 'Create filter'.  

Example #1: Creating a filter to track outstanding USPS JIRA Issues

  • After clicking 'Create filter', a new window will appear with all existing Jira projects.  
  • On the far right side of the page, click on the ‘change view type’ icon from ‘Detail View’ to ‘List View’ in order to see the existing JIRA issues in a list format.
  • The menu bar near the top will be used to filter by project and by status. 
    • In order to filter on USPS core project issues, click on the drop down next to ‘Project: All’ and either scroll down or search for USPS-R.  Checkmark the project.
    • Under the ‘Status’ dropdown, select all ‘outstanding’ statuses which include Documentation, In Progress, In Review, New, Open and Re-opened.
  • Add any additional columns to your view that may be helpful to you by clicking on the ‘Columns’ dropdown at the far right.  For example, adding Fix Version may be helpful to see what release the outstanding JIRA issue is scheduled for.
  • Once you have your filter set, you will need to select ‘Save as’ at the top of the screen

  •  Enter a filter name and select Submit.

  • Your saved filter is displayed under ‘Starred’ on the left side of the screen as well as at the top of the screen.

If you want the same columns from an existing filter (i.e. Outstanding USPS Jira issues) to be included on a new filter, use the existing filter as a template and create your new filter from there.  

Example #2: Creating a filter to track outstanding USAS JIRA Issues

  • Change the existing project from USPS-R to USAS-R by unchecking USPS-R and searching for USAS-R.  Checkmark the project
  • Clear your existing statuses by selecting ‘Clear Selected Items’ and then checkmark all ‘outstanding’ statuses which include Documentation, In Progress, In Review, New, Open and Specification.
  • Add or remove any columns from your existing list.
  • Once you have your filters set, click on the drop down arrow next to ‘Save’ at the top of the screen and select ‘Save As.  You will then be prompted for new filter name.
    • NOTE: Be careful not to click on ‘Save’ or else it will overwrite your existing filter (outstanding USPS Jira Issues) with your most recent changes (USAS filters)

  • Enter the filter name for your USAS filter and click Submit.

  • If you would like to see All Filters again, click on the drop down next to Filters (on the top menu) and select ‘View all filters’.  To see just the filters you created, enter your name in the ‘owner’ box or click on the first column to re-sort by ‘starred’ filters.  You will notice the filters you created display ‘private’ under the ‘Viewers’ column.  This indicates only you can see them. 

  • Once you have all of your custom filters created, the next step is to create your custom dashboard and add you new filters.  

Creating your Custom Dashboard

  • Under Dashboards, select 'View all dashboards'.  It will display the default dashboard. In order to create a separate custom dashboard (using the default set up), click on the … icon on the far right of the default dashboard and select Copy.

  • Enter a Name for your custom dashboard and an (optional) description.  You may keep the default Viewer and Editor settings as private and click on Save.

  • Your custom dashboard is now displayed with default gadgets (Introduction, Projects, Assigned to Me and Activity Streams).  Click on  to edit your custom dashboard.  You will notice a series of gadgets listed on the right side.

  • You are at the point where you can edit the layout of your dashboard as well as add the custom filters you have created via gadgets

Adding a Gadget

  • You have a couple of gadget options when it comes to adding your custom filters.
    • Starred Filters: lists your custom (starred) filters on your dashboard in a summarized format. 

 

If I want to search for something specific under one of your Starred Filters, click on the link and it display the details of the your filter.  If you want the details to open in a separate tab on your browser, right click on your mouse to open the link in another window (tab)].  In the menu bar, enter your desired search in the ‘contains text’ box.  For example, if I enter W2C, it will filter all outstanding USPS Core project issues that contain the word W2C.  It will look for the search criteria in the summary and detailed descriptions and comments listed in the JIRA issue.

    • Filter Results: You must select a saved filter and it will display an abbreviated listing of the issues in that project. 
      • You may select a predefined SSDT filter or one of your custom filters. By default, it will display the 10 most recent issues from your filter but you may increase it.  It also lists the columns that will be displayed in your filter results.  You can add additional columns or remove existing ones.  You may also drag/drop to reorder the columns.  In my example below, I selected my custom filter ‘Outstanding USPS Jira Issues’, adding  ‘Fix Version’ and ‘Created’ columns.

Customizing the layout of your Dashboard

  • In order to customize my layout, remove/add gadgets and/or re-order them on my dashboard, click ‘Edit’.  Once in Edit, the menu options include:
  • Once in edit mode, the menu options include: 
    • : updates any changes made while editing
    • : display a listing of available gadgets that can be added to your dashboard
    •  allows you to update the layout of your dashboard (default is two columns).  There are several options to choose from.
    • saves any changes you made to your dashboard
    • : contains several miscellaneous options such as renaming or sharing your dashboard, deleting your dashboard, creating a new dashboard, etc.
  • Each gadget has its own set of customization tools:  

  •  relocate the entire gadget to another area of the dashboard
  •  minimize the gadget’s information
  • maximize the gadget’s information
  • updates (refreshes) the gadget's information
  • contains several options including changing the bar color, renaming the title of the gadget, deleting (removing) the gadget from the dashboard layout or configuring (editing) the gadget settings.  NOTE: Deleting the gadget places the gadget back into the list of available gadgets.
