Summary

This release of the SSDT Inventory application contains the following bug fix as detailed below.

Additional information for using Document Storage within the Inventory application.

  • Once Document Store has been integrated for your Inventory application, the reports generated by the fiscal year bundle will be stored in Document Storage, they will no longer be emailed.  The reports will be visible in the collection for the fiscal year that was closed. The fiscal year report bundle will continue to be generated when the fiscal year is closed.

    • Even though with the latest release the software shows the Document Storage menu option, unless there is a Document Store (DS) instance linked to the district's Inventory instance the reports will still get emailed when you close the Fiscal Year.  When you navigate to System/Document Storage, if you see the following message there is not a DS instance linked to the Inventory instance: "Document Store is not available. Please contact your system administrator to configure this Inventory instance to use the Document Store."  Once DS is up and running for that district and connected to Inventory, the report bundle will be stored in Document Storage and will no longer be sent via email. 

  • The INV_STANDARD role (minimum) is required to see the Document Storage view. This role provides the user full access so they can add, view and delete from Document Storage.

  • Collections of reports, FY23 for example, can be renamed if desired, FY 2023 or Fiscal Year 2023.

  • Reports can be downloaded from the Document Storage area as well as deleted from the collection.

  • If you have saved report bundles from previously closed fiscal years you can easily upload them into your Document Storage

    • Create a Collection under the appropriate storage area: FY Reports or Audit Reports, by clicking the Create Collection button. The collection will appear in the grid.

    • View the collection and click the upload button that appears just above the grid. From here a small window will open and will allow you to upload your previously saved files.

  • Fiscal Year bundles can now be regenerated without having to reopen the Fiscal Period.

    • From the System/Configuration/Jobs tab you can schedule report bundles for any closed fiscal period by clicking on the Schedule Report Bundle button. A small window will appear that requires you select the Report Bundle (SSDT Inventory Fiscal Year Close Bundle) and the Fiscal Year you are generating the bundle for. You can specify a Cron Expression to schedule the job or leave the cron expression blank to run the job immediately. The Fiscal Year selection will display all closed fiscal years. Once completed the job grid will show the completed job and the reports will be in Document Storage for the Fiscal Year selected.

    • Note: at this time we are recommending you upload previously generated reports if you have them. If you need to regenerate prior year bundles, we ask you to hold off at this time. We have a few known bugs that impact reports when run for prior fiscal years. The reports are not properly excluding future transactions and therefore do not accurately represent the data as it was during that fiscal year.
