Summary

This is the twelfth production release of the USAS Redesign software.  This release contains bug fixes, exciting new features, various report improvements and patches as detailed in the full release notes below.

Important Highlights

  1. 1099 processing has been implemented via USASR-612. You can generate the TAP and XML files, as well as a 1099 report.  Sample extract files have been sent to the IRS and approved.  All TAP files will be appended together for submission via the TR1099 program in Classic.  A Classic 1099.TAP file must be appended first.

  2. We've created a new Vendor 1099 report to assist with 1099 processing.  It's called SSDT 1099 Vendor Report. It's suggested that this report be run and the data reviewed prior to processing 1099s.

  3. USASR-3343 corrects problems with the Account Change option, it is now available via the Utilities menu.  One important difference from Classic to note, the Redesign processes the account change for the fiscal year specified.  Historical records are not changed, which is different from Classic's ACTCHG.

    1. Due to this, a new rule was written to require the prior fiscal year be closed before you can process an account change in the current fiscal year.

    2. We've also created a new template report to display the details of the account change requests that were processed.  It's called SSDT Account Change Request Report.

  4. We've updated the buttons in the UI to be consistent with icons and labels.

  5. The application (USAS/USPS), district name and username are now being displayed on each page of the UI, just above the menu.

  6. The Cash Reconciliation clone option will now retain the amounts from the original clone so the user has less data entry.

  7. New rules have been implemented to enforce posting periods be closed and reopened in chronological order.

  8. The SOAP Bridge was updated to properly display the inventory flag in AP Invoice, if the EIS Classic Integration module has been installed.

  9. Classic's ADJUST date and time are now being imported into the Redesign. Districts no longer have to manually update this information.

  10. Classic's Requisition Approval Status was incorrectly implemented as a string.  This field has been updated to be a code field with values.

Please keep in mind these release notes only reflect the changes included in this release.  There are many other features of the software that were previously released that will not be reflected in these release notes.  General information about all of the features available in USAS-R can be found in our USAS Documentation.  There is a section in the documentation that also details the significant changes between USAS-R and classic USAS.

Known Limitations

  1. The Inventory Pending Extract does not currently contain all invoice items that it should.  We are working to correct the problem and have reached out to all ITCs that have districts on the Redesign to determine who may be using it.

  2. The GAAP export is available, but is not excluding accounts with all zero amounts like Classic's export did.  It's also not properly collapsing SCCs.  USASR-2928: Correct GAAP ExportResolved

  3. Auto assign preferences for requisitions.   USASR-352: Implement auto-assign preferences for requisitionsResolved

  4. The Expense/Receipt worksheets, while they provide 3 years of history, those amounts are not currently being subtotaled by control breaks.  We've created Jira issue USASR-3275: Update Budgeting worksheets to allow prior year transaction amounts to be totaledResolved to allow those amounts to be subtotaled.  This issue will also allow the data to display in separate columns if included on the budgeting spreadsheets via the Budget Scenarios.

  5. Page Break option prevents report from generating USASR-3335: Pagebreak option prevents report from generatingResolved

  6. The Financial Detail report does not include beginning and ending balances.  USASR-3387: User wants beginning and ending balances to display on Financial Detail reportResolved
