Summary
This release contains bug fixes, exciting new features and various report and performance improvements as detailed in the release notes below.
Important Highlights
Please keep in mind these release notes only reflect the changes included in this release. There are many other features of the software that were previously released that will not be reflected in these release notes. General information about all of the features available in USAS-R can be found in our USAS-R Documentation. There is a section in the documentation that also details the significant changes between USAS-R and classic USAS.Â
The Monthly CD Report Bundle is now available. See below for important details.
The functionality of the MORE button on the grids has been updated to only refresh when the popup is closed. This will prevent repeated refreshes of the grid from happening every time a field is added or removed. Please note: if you have entered anything in the filter row before opening the MORE button to customize your grid, the data in the filter row will be lost. We will be working to prevent this in a future release. If the MORE button is clicked but no changes are made the page will not refresh and the filter row will not be lost.
A User Listing report is now available. This report will list all currently active users.
An additional RAM extract has been added to USAS per LACA's request. Please do not use this new report to send your RAM extracts to LACA unless they have instructed you to do so.
Per the Auditor of State's office the time restriction to repay Advances has been removed. Previously an advance had to be repaid in the current or next fiscal year. A repayment beyond that time would have to be processed as a transfer. AOS has stated there are times when advances will take longer to repay and that is allowable. It is up to the district to know how the specific advance is to be repaid. This will no longer be determined by the software.
The SSDT template reports have been updated to replace the report descriptions that were previously lost. These descriptions are also available in the documentation.
The import log has been updated to include the PO# in the suspicious invoice warning message.
The following AP Invoice improvements have been made:
When processing invoices, all PO items are visible when creating a new invoice. If the items are not invoiceable they are displayed as read only.
The ability to continuously create new invoices has been implemented. The entry field will populate with the last PO number invoiced if it is still invoiceable. If not, the user can key in a PO number and click the create button to process the next invoice.
The invoice item table will now display the original, remaining invoiceable and payable amount columns for each item.
The table that displays the invoice items is no longer sortable. Previously you could sort the table which would reorder the items.
Monthly CD Report Bundle
The Monthly CD Report Bundle is available via the Report/Report Bundles menu. This report bundle is enabled by default and will automatically be triggered once a posting period has closed. The report bundle will generate 24 SSDT template reports and send them to the Utilities/File Archive for the posting period that was closed. To view the generated reports the user must select the row from the grid for the month they want and a window will open on the right showing the generated reports. Click theÂ
button to download and view a report.
Things to be aware of
The Cash Reconciliation is not required, however a report will generate for this regardless. If the district does not create a cash reconciliation for a particular month the report will be empty.
If you need to reopen a posting period the Monthly CD Bundle will automatically run again when the period is closed. If a monthly report bundle already exists in the archive you'll need to delete it before closing the reopened posting period to prevent duplicate copies of reports from being stored for that month. Currently you cannot delete items from within a monthly archive. You can however delete a monthly archive.
If you do not want the bundle to run for the period you are closing, navigate to the Report/Report Bundle UI and disable the bundle by clicking the checkbox to unselect the checkbox. This will prevent the bundle from automatically running when a posting period is closed.
You must wait until the report bundle has completed before closing another month. Multiple report bundles running simultaneously will take a lot of memory and could cause the report bundle to fail. Â
Please be aware that closing a posting period will cause the 24 reports in the bundle to generate sequentially so you should refrain from running other reports while this completes.
Most importantly, this process should only be used when closing months going forward. Very soon we'll implement a way to create the monthly report bundles for previously closed posting periods on the Redesign. We strongly discourage the reopening of posting periods to generate monthly report bundles for prior periods.
