Summary

This is the first hotfix release for version 7.7.0.  This hotfix corrects the following problems:  

  • The June 30 Encumbrances on the Certificate of Available Balances report were incorrect if the report was run and the prior year was not closed.  The end of year encumbrances were not correctly displaying while June was still open.  We also added a report format drop down to the Certificate reports to allow the user to select their desired format instead of restricting them to pdf.  

  • A problem with initial amounts being zero if the new fiscal year was opened prior to the account being created in the prior fiscal year.  For example June was current and July was open.  The district created accounts in June and posted transactions, so the ending balance was not zero.  However the initial balance for July was showing $0.  This was a problem with the account histories not being created for the open fiscal periods; only the current fiscal period account history was being created.

  • A problem with July encumbrances was reported after an entity reopened June to run reports.  We determined that the ledgers weren't properly being updated with regard to carryover transactions, which resulted in inflated encumbrances.

  • While testing the above issues we chose to reinitialize the encumbrance module, which will repost the ledgers associated with encumbrance transactions.  We found that the ledgers associated with carryover encumbrance transactions weren't being reposted if the previous fiscal year was not archived.  This resulted in missing encumbrances.

  • A district reported an error with the data collector with regard to the Federal Assistance Detail record.  The grant title description is limited to 30 characters per the EMIS manual.  However the extract contained the entire description, causing an error.  We've updated the record to populate the first 30 characters of the description.

Please have your first wave entities review their encumbrances. If they feel they are in error, please contact the SSDT. We will provide instructions for reinitializing the encumbrance module.
