For those districts who plan to integrate Absence Management (AESOP) with ESS, Frontline Education requires you reach out by emailing absencesupport@frontlineed.com and include the note “HR Kiosk to ESS Transaction” in the subject line or body of the email. This will help route the request to their Technical Support team. There will be a required template change on the Absence Management side and they are ready to assist you. Frontline will provide the district with new Template ID numbers for your ESS/Absence Management (AESOP) integration. Do not enter your existing template IDs from Kiosk.
For those ESS users you plan to integrate with Absence Management, in Users>User, ensure their ‘Sync to Aesop’ flag is marked to true. If it isn’t marked as true, you may edit the user manually and checkmark the ‘Sync to Absence Management’ box or if you need to update several users, you may use ‘Export Grid Items’ to export existing users to a spreadsheet, update the ‘Sync to AESOP’ column to ‘true' and load the updated user information back into ESS via System>Mass Load. Also ensure the employee has been entered into Absence Management.
Enter the information provided by Frontline into ESS' System>Configuration>Absence Management District Configuration. Ensure the ‘Enable Absence Management (AESOP) Data Sync’ checkbox is marked.
NOTE: For the initial pull, ESS will pull in Absence Management absence requests with dates up to 60 days before integration date and 90 days after. After initial pull, the scheduled job will pull hourly (NOTE: this will be increased to 15 minutes with ESS-919). When performing the initial pull, the absences with dates prior to the integration date will either be pulled in as ‘approved’ if they are not in an AESOP approval workflow or as ‘initiated’ if they are in an approval work flow. If districts do encounter duplicate leave requests in ESS as a result of the initial pull, they can either cancel the duplicate leave requests in ESS or export them (via the CSV export method) and do not import the CSV fie into USPS.
Once integration is enabled, the ESS menu will display an ‘Absence Management (AESOP) Integration’ menu option for users with the Leave Manager, District Manager and Admin roles.
Data Import View: will include a grid of the details from the Absence Management absence requests that have been pulled into ESS. This will get populated upon initial pull and updated every scheduled pull. Please review the documentation for further details on this grid.
Data Sync View: will include options to sync Absence Reason, Schools and Employees. All three options must be synced manually after integration has been enabled and on an as-needed basis. Please refer to the documentation for further information on these options.
Synced Absence Management Data: is a grid of the details from the Data Sync options. This grid will get updated when a Data Sync option has been synced manually.
