Summary
This is the ninth production release of the USAS Redesign software; the first release for version 7.8.0. This release contains various bug fixes, new features and report improvements.
Important Highlights

- Cash Reconciliation: You are now able to change the posting period on a previously saved cash rec. We have also limited the posting periods you can select when processing your cash rec to +/- 1 of the current fiscal year. This means the drop down will now display existing posting periods in the current, prior and future fiscal year. (Example: current fy 2019 - drop down will display existing posting periods in 2018, 2019 & 2020)
- The Fund UI was corrected to apply account filters. Previously all funds were displayed.
- We've made performance improvements to the template reports with regard to loading and saving the definitions, as well as navigating the properties, configure fields and generate tabs when customizing reports.
- Corrected a problem with the view permissions; users with _VIEW permissions can now print the transactions they have the _VIEW permission for.
- Corrected the vendor import to properly create separate 1099 locations. If you are a first wave district who does not have separate locations for any vendor they had designated in Classic with "1099:" in the name field, please contact your ITC for a procedure to fix your locations.
- The account combobox found on transactions will now be populated with active accounts only. This excludes the Federal Assistance Detail found on the Periodic menu.
- We've added a tooltip to the item description on Requisitions and Purchase Orders to allow the user to view the entire description when in display mode. Previously the descriptions were limited in display mode and you had to edit the transaction to read the entire descriptionVarious improvements were made with the Budget Scenarios.
- the sheets now display PA-YYYY instead of NYP-YYYY. The PA stands for proposed amounts. There is no distinction on the spreadsheet between next year proposed or current year amounts. The determining factor will be the fiscal year. If you are in fiscal year 2019 and your proposed amount column heading is PA-2020 you are processing next year proposed amounts. Likewise if you're in fiscal year 2020 and your column heading is PA-2020 you are budgeting current year amounts.
- the sheets now have a default sort applied to them so that the accounts are listed in order by account code.
- the budget sheets will contain a standard set of amount fields to assist the end user with budgeting. Remove the amounts you don't care to be included before creating the sheet.
- Classic's APPROP/PABMNT option has been implemented. When processing proposed amounts you now have the option to post adjustments to your budgeted amounts.
- Cash Reconciliation: when you save the cash rec you will now see a warning displayed if the fund balance does not match the total balances of the amounts entered.
- Template reports based on the Activity Ledger were not properly applying account filters.
- Classic's APP/BUD/REVWRK reports have been created as template reports and are now available via the Report Manager. The reports provide 3 years of prior year expended/received amounts. See limitations below.
- Closed posting periods can now be made current. This is helpful for running reports in a prior month, without allowing users to post transactions into that period. Reminder, posting periods must be open to post transactions in to them.
- Users can now clone accounts. This is not the mass add feature, this is strictly cloning a single account. See below for mass add details.
- Classic's SM2 Comparison report is now available.
Please keep in mind these release notes only reflect the changes included in this release. There are many other features of the software that were previously released that will not be reflected in these release notes. General information about all of the features available in USAS-R can be found in our usasrdoc. There is a section in the documentation that also details the significant changes between USAS-R and classic USAS.
Known Limitations
- The GAAP export is available, but is not excluding accounts with all zero amounts like Classic's export did.
