2020-11-18 Focus Group Items To Discuss

  1. Development progress update:  we are importing data and beginning to work on the GAAP related reports.  We will be focusing on developing UIs and non-GAAP control reports.

    1. Review existing EIS101

      1. Discussion about the report title, concern with the word "source".  This refers to where it was acquired.  Some felt it would be better to say fund type or fund instead.

      2. Would like the report to have sort and filter options.

      3. Would like to generate by asset class also.

      4. In general the same options you're used to in Redesign with regard to renaming reports and user parameters will also be available in inventory.

  2. Non-GAAP control reports: What is the business use case for these reports?  Do you have suggestions to improve these reports?  Discuss report importance.

    1. Leased Asset Listing (used?)  EISRPT>EIS202

      1. Not used by anyone on the committee but districts who lease items will need the report.  May want to survey others.

      2. May be able to be pulled from grid or another report that filters for leased items

    2. Asset Listing by Grant/Source  EISRPT>EIS203

      1. This report is definitely used and is very helpful.  Thinking they may be able to pull this info from the grids.

    3. Location Worksheet  EISRPT>EIS302

      1. This report is used yearly, is printed and distributed to collect data on inventory.  Report is small and hard to read, would like it improved.

    4. Inventory Master EISRPT>EIS303

      1. Are the auditors looking at this report?  Some auditors are, using it to compare to fixed asset listing, reviewing fully depreciated items and potentially changing life of item if still used.

      2. Some use the EIS304 because it's shorter and easier to use.

      3. Would go to the grid to pull info about an item vs running the report.

      4. not used on a regular basis - usually run a 304 as it's shorter than the 303

    5. Brief Asset Listing  EISRPT>EIS304

      1. used heavily

      2. may be able to be pulled from the grid

    6. Book Value/Depreciation EISRPT>EIS305

      1. Used for GAAP converters, great report, used frequently.

    7. Insurance Values EISRPT>EIS401

      1. Not used to provide to insurance company because the values don't match.  They calc things differently and are more concerned with the buildings, not individual items.  The insurance company has an allowance for the classroom items.

      2. May want to survey others.

      3. Will need to have a way to mass update these values from the insurance company.

    8. Pending Items (from USAS AP Invoices)  EISRPT>EIS501

      1. heavily used report to review items from usas and determine if they will be included in inventory

    9. Audit Report  EISRPT>EIS801

      1. Auditing will be more widely used in Redesign vs Classic.  We will make sure this report is easy to read and use.

      2. Needs more detail in the report

  3. Items from the floor?

    1. Question about the EIS GAAP reports - these reports are currently in progress.

    2. Discussed the worksheet report, would not just be from the grid.

    3. Capitalization threshold changes - auditors have no problem with this, does not present any challenges.

    4. AR compliments and requests
