The Cancel Claim option provides district staff the ability to cancel a claim their district has completed and should not have.

This option will only appear in the menu for those with OEDS roles that allow a Cancel action.  add link to roles page

When a cancel is required, the individual who completed the claim is not able to cancel the claim.   Another district staff member who has the necessary OEDS roles to cancel claims, must complete this cancel processing. You may obtain a list of who has the OEDS roles to cancel a claim, by viewing the User listing for your LEA. 

The summary listing will only have the Cancel button on the records your username did not complete a claim for and those not reported as enrolled with an SCR submission.  When canceling, the user is required to select a reason why they are canceling this claim.   Optionally notes can be included. 

After a claim has been canceled, it will be displayed with a strike thru.

If a student was claimed and then reported by the district using the SCR submission process, this student is no longer considered claimed, thus can no longer have their claim canceled.     In the summary listing, any student with a date in the Actual Enrollment column has been reported in SCR as admitted by this IRN.   Any adjustments to their enrollment status should be completed within a future SCR submission.  During the SCR submission, if a student is reported with an '81' withdrawn code, and there is a claim associated with this student, that claim is canceled automatically and will display with a a strike-thru. 


Find

The LEA will have the ability to find students their LEA has claimed for enrollment.   The student name, SSID, those students reported as enrolled and also a selection on who at your district claimed students.   The user can select combinations of options.   When doing so, if the Clear is not used, when the user returns to the same screen, their last used selection option will be populated as the default.   The Clear option may be used to reset the selections to the default values.


The find by Actual Enrollment Rptd allows the user to selected only the claimed students not reported through an SCR submission, which provides a list of those eligible to be canceled.   The Reported lists only those that have been reported through an SCR submission.   Leaving the option blank provides a list of all students.

The selection by Who Claimed Student can be used to obtain a list of the Student my username claimed or a list of those claimed by others in my district.   This selection may aid in determining who could cancel what records.

Cancel Claim Summary Listing

Students will be listed in a summary format by student last name, which is the default sort.   These records can be sorted by all fields included on the screen.  Rows showing without the Cancel Claim button are claims your user account can not cancel or are records that represent enrollments that were claimed and have been reported in an SCR submission.

To cancel a claim, click on the Cancel Claim button.

A Cancel Reason is required

  • Incorrect Match
  • Never Attended
  • Claimed in Error

The user can enter any notes as optional.  

Following the cancellation, the record will show with a strike-thru.

All canceled claims and reasons, as well as claims canceled due to submission of an '81' withdrawn code for a claimed student, are reported to ODE and monitored.  District personnel that cancel claims repeatedly will face consequences.
