Releases Since Our Last Meeting (01-16-2019)



  • USAS-R 7.15.0 Release Notes (1/22/2019)

    • Corrected the missing comma in the vendor name on the 1099 report and XML extract.

    • Improved positive pay to allow for full checkdate field and commas in vendor names.

    • Updated various reports

      • Outstanding Disbursement report will now provide date defaults and will show only outstanding disbursements.

      • Listing of Transactions by Account report has been modified to remove redundant encumbrances.

      • The Spending Plan Summary report has been updated to indicate required user parameters.

      • The SSDT 1099 Vendor report displays the taxable ytd amount for the vendor.

      • The Financial Detail report will now be available in two options.  The first (existing version) will allow users to enter a date range to generate the report for and will NOT include beginning and ending balances.  The new version, Financial Detail Report for Current Period, will include beginning and ending balances but will only generate for the current period.

    • Implemented the Classic FNDREVEX report as 2 template reports.  Note: see known limitations below.

      • SSDT Revenue and Expenditure report by Fund

      • SSDT Revenue and Expenditure report by Cash Account

    • Allow user to link payee id from usps pending transaction to usas vendor.  If the pending transaction contains a payee id it can be linked to a usas vendor, if not a usas vendor can still be selected to apply to the transaction being posted as a result of accepting the pending transaction.

    • Updated the requisition import to not import requisitions that were converted to POs in Classic but then the PO was deleted.  These requisitions were imported into the Redesign as "open" and were impacting preencumbrance amounts.  In Classic these requisitions shown as "closed" and did not impact preencumbrance amounts.

    • Updated to allow all "open" requisitions in archived periods be modifiable and deletable, regardless of posting period.

    • Report tagging is now user based.  This means you can edit any report and add tags to it, even SSDT versions.

  • USAS-R 7.15.1-6 Release Notes (1/23/2019)

    • Updated Account Change process to cope with future posting periods

    • Updated the 1099 extract and report to check the ignore limits flag on the vendor and include vendors regardless of taxable ytd amounts

  • USAS-R 7.15.2-1 Release Notes (1/23/2019)

    • Reimplement code that was reverted due to a bad merge of code.  Changes to the 1099 extracts in 7.14.5 were inadvertently reverted.

  • USAS-R 7.15.3-4 Release Notes (1/28/2019)

    • A correction for impacts on encumbrances related to invoices.  This change corrected the effective date for a specific subset of invoices that were imported from Classic.  The change we made on the 7.15.0 release to correct a problem with the effective date exposed a new problem.  We have modified the setting of the effective date for invoices to use the created date of the invoice if the po fiscal year is greater than the invoice fiscal year, meaning the invoice was backdated into the prior fiscal year in Classic.

    • A correction to the formatting of negative amounts in the report header/footer.  

    • A couple of improvements to the Revenue and Expenditure Reports by Fund and by Cash Account.  The initial release of these reports did not include subtotals by object code like the Classic FNDREVEX did.  Also the user parameters to limit the report by certain funds/fund-SCC's has been properly implemented.  Both of these features are now available in both reports.

  • USAS-R 7.15.4-1 Release Notes (2/6/2019)

    • A recent programming change broke the ability to run a report as part of a scheduled job if the report query parameters were left blank.

  • USAS-R 7.15.5-5 Release Notes (2/6/2019)

    • A problem was discovered with encumbrances related to missing posting periods.  These missing periods were preventing the encumbrance job from finishing which resulted in an exception in the log file.  The PURGEDAMTS* invoices are created by the SSWAT extract to cope with invoices still on the system after a purge.  These invoices are imported with an effective invoice date equal to the last day of the fiscal year corresponding to the related PO date.  We discovered that there were incomplete fiscal periods as a result of these old transactions.  Fiscal Periods will not be closed if all the posting periods for that fiscal year do not exist.  This hotfix ensures all posting periods within a fiscal year have been created so that the fiscal periods can be properly closed.  

  • USAS-R 7.16.0-5 Release Notes (2/17/2019)

    • Legacy views have been removed: Refund, Adds/Deducts and Show Sessions.

    • Corrected problem with page break option that previously prevented template reports from generating.

    • Improved the import process by removing the posting of encumbrance ledgers.  This should shorten the time it takes to import the data.  Encumbrance ledgers are posted during the post import process.

    • Created the Appropriated Amounts by Cash Account report which includes the percent expended/encumbered.

    • Created report to show budget modifications: SSDT Budget Transactions

    • Removed legacy code for printing Requisitions, Purchase Orders, Receipts and Refunds and replaced with the ability to print as xDocReports.

    • Implemented the ability to batch print pdf Receipts for HCC OnBase implementation.

    • Corrected an error that prevented generating a report from the Payable grid.

    • Improvements were made to the descriptions on the receipt template reports so it's clear to the user which transactions will be included.

Upcoming Scheduled Releases

  • USAS-R 7.16.1 Release Scheduled Issues (week of 2/18/19)

    • A problem with negative invoices and how they impact encumbrances

    • An internal test was failing due to an unordered set of posting periods with regard to account change

  • USAS-R 7.16.2 Release Scheduled Issues (week of 2/18/19)

    • Update subject codes with fiscal year 2019 changes

    • Correct the job scheduler grid to properly show scheduled jobs

  • USAS-R 7.17.0 Release Scheduled Issues (anticipated 3/1/19)

    • Improvements have been made to reconciling disbursements.  This change improved the overall performance of disbursements as well.

    • Improved performance of closing popup windows.

    • Implemented the ability to import monthly and fiscal cd archives from Classic.

    • Vendor ledgers are being posted for prior calendar year voided disbursements.  Previously the ledger entry was removed when the disbursement was void.  Now void ledgers will be posted using the void date.  This will keep calendar year amounts from being changed, while accurately updating fytd amounts.

    • Corrected the requisition approval status to display correctly.

    • Activity ledgers are now being generated for advance repay transactions.

    • Remaining invoiceable has been removed from the PO header and item area, but is still reportable.

    • Corrected the posting of Disbursements to specify the item order, previously this was determined by how the items were selected in the Payable grid.

    • Corrected problem with mass loading accounts with regard to xref codes.

    • The tax id and type have been restricted to the USAS_PRIVACY_TAXID permission to prevent those without the permission from seeing it.

    • The asOfPeriod parameter has been added to template reports to all the user to generate a report as of a specific period without having to change the current period.

    • Corrected an error with the new hire report if the begin date is not populated on the vendor and the user did not select to calculate the begin date.

USAS-R 7.18.0 Release Scheduled Issues (anticipated 3/15/19)

    • Improvements to the Disbursement UI, including creation and grid loading

    • Correct a bug in proration utility that is currently requiring the user to apply an account filter

    • Create an optional rule to provide a warning to the user if the invoice amount exceeds the remaining amount
