Ledger Codes

A ledger code is used to define a billing category.  For example, a ledger code can be created for the purpose of renting an area or room of a building to hold meetings, etc. for customers.   A billing # along with the ledger code can be assigned when creating a billing.

Creating a Ledger Code

  1. From the Account Receivable menu, select "Ledger Codes" to display the Ledger Code grid.

  2. Click 'Create'

  3. Enter desired information

    1. Code: Enter a ledger code.  The code can be numeric and/or alphanumeric with a maximum length of 15 characters.

    2. Description: Enter a description of what the ledger code is used for (optional)

    3. Days Til Due:  Sets the due date of the billing to the current date plus the amount of days entered. (optional)  For example, if you want all Building billings to be due 30 days from the date of the billing, enter 30 in this field. 

    4. Click on Save  to add the customer to the grid.  Click on Cancel to cancel out without posting.

Search/View Ledger Codes

The Ledger Code grid allows you to search for existing ledger codes by clicking in the filter row in the grid columns and entering in the desired information. By default, the Ledger Code grid sorts by Code.  Click on  to generate a quick report based on what you filtered.  Click on any row of the search results to see a highlight view of the record.

Click view   to view a particular ledger code.

Edit a Ledger Code

Ledger codes tied to existing AR transactions cannot be deleted.

To edit an AR Customer:

  1. Search for desired ledger code

  2. Click on the edit icon  

  3. Make desired changes

  4. Click on Save to post the ledger code changes to the system, click on Cancel to not post the modifications and return to the Ledger Code grid.

Delete a Ledger Code

The Delete function may be used to delete a ledger code if there haven't been any AR transactions posted against it.

  1. Search for desired ledger code.

  2. Click on the Delete icon 

  3. Confirm you want to delete by clicking on .
