Summary
This release of USAS-R contains the following improvements detailed in the release notes below.  Please keep in mind these release notes only reflect the changes included in this release. There are many other features of the software that were previously released that will not be reflected in these release notes. General information about all of the features available in USAS-R can be found in our USAS-R Documentation. There is a section in the documentation that also details the significant changes between USAS-R and Classic USAS.Â

ImprovementsÂ
The ability to post encumbrance adjustments to assist with correcting encumbrances on the account when they do not balance to the transactions (which are verified to be correct). See additional details below.
A new mass change definition has been created to update invoice item received dates. The Change Invoice Item Received Dates definition is available in the Mass Change documentation.
Improvements have been made to the report bundle scheduler to indicate required fields, add a tool tip for the output field and add a validation to prevent the use of semicolons in the output field. Additional improvements will be available on the next release to require a value in the output field.
Patch
A patch to fix data for a specific district due to processing an account change. Â
Encumbrance Adjustments
This is a new option available to admin users under the Utilities menu. This new correction feature allows for posting an adjustment to correct encumbrances on an account without impacting the associated transactions. This new feature should only be used at the guidance of the SSDT.
The Encumbrance Adjustment grid has two tabs, Existing and Add Adjustments. The Existing tab will show all previously created adjustments. The grid will display the budget account, date, amount and description. The Add Adjustment grid will show the account code dimensions, full account code and description of the account. This grid is filterable to allow for locating the account easily. Only those accounts that do not currently have an encumbrance adjustment for the current fiscal year will be displayed.
Only one adjustment can be entered for a specific account per fiscal year. If an adjustment exists for an account and additional changes are necessary, the existing adjustment will need to be deleted and a new adjustment can be posted for the correct amount.
To add an adjustment, the user will select the desired account(s) and click the Create Encumbrance Adjustments button at the top of the grid. A popup will display allowing for adjustments to be made to all selected accounts.Â
The Date will default to the current system date. The date is required to be in an open posting period within the current fiscal year.
A checkbox will allow the user to choose to "Submit report bundles for the current fiscal year closed posting periods?". If selected the user can enter a cron expression to specify when the bundles are to be generated.
The selected account codes are displayed and the user is able to enter an amount and a description for each account.
To delete an adjustment, the user will select the adjustment from the Existing grid and click the Delete Selected button at the top of the grid. A popup will display confirming if the user is sure they want to delete the adjustment. The user has the option to submit report bundles for current fiscal year closed posting periods and a cron expression will be enabled so they can determine when those bundles will run, like when the adjustment was added.
Once deleted an informational message will display stating the adjustment was deleted for budget xxx-xxxx-xxx-xxxx-xxxxxx-xxx-xx-xxx with amount $xxxx.xx to display the deletion.
The adjustment transactions are audited.
