FYE Report Bundle

The Inventory Fiscal Year End Report bundle is triggered when an open period is closed.  The bundle mimics the Classic software program EISCD and generates 26 reports specified below.  Once your Inventory application is integrated with Document Storage, the fiscal year report bundle will no longer be emailed when the fiscal year is closed. Instead, the fiscal year reports will be sent to Document Storage under the System menu in Inventory.  

Setting up Email Configuration

Prior to the Document Storage being integrated with Inventory, the fiscal year report bundle was emailed and would not generate if either of these configurations was not populated.

  • Email Address in Core>Configuration had to be populated with a valid email address(es).  Multiple addresses can be entered, separated by commas.  INV_GROUP_MANAGER role or higher is needed to modify this field.

  • Email Configuration under System>Configuration had to be installed and populated as well.  INV_ADMIN role is required.

Once the report bundle was generated and emailed, you could view the status of the bundle's progress by looking at the Jobs section of System>Configuration.  Once the Document Storage is integrated, the Status of this job can still be viewed this way.

Prior to the Document Storage integration, the email would include the zipped file as an attachment, which was downloaded, and the user would accept the default filename or enter a filename of their choice. 

Once downloaded, the format would be shown in a compressed zipped folder. 

Thus, the user would open the folder’s contents based on thier browser's settings.  (Most browsers allow you to click (or double-click) the folder to view its contents.) The reports were displayed in an alphabetical listing of Inventory reports in PDF format.

It was recommended that districts store these reports in the zipped file until the Document Management & Archival project became available.  Once the district is integrated with Document Storage, districts will be able to upload previously generated documents.

Inventory Reports Included in the Bundle

The Audit Report is generated based on the system dates (timestamp), not the transaction dates. If no activity occurred within the selected date range, the report may display “No Data Returned.” For districts that have recently started using the Inventory application, the Audit Report will only show activity for dates after they began entering data into the system.
