January 2023 Recap
USAS-R Releases
Bug Fixes
The proposed amount service has been updated to properly display all errors related to inactive accounts when processing proposed amounts. Previously only one error would display at a time.
Improvements
1099 UI changes - Per the IRS, any copy that is furnished to the payee can be truncated. The following copies now have the option to Truncate TINs:
Â
Reference Copy: When either Copy B or Copy 2 are selected, the truncate option will display. Â
Printer/Sealer Copy, which includes both Copy B and Copy 2. The TINs on the printer/sealer document will be truncated on both Copy B and Copy 2 if the truncate option is selected.
The truncate option that displays will now be labeled as "Truncate TINs (SSN/EIN)".
Â
An active filter has been applied to the Account UI tabs (Cash, Appropriation, Expenditure and Revenue) and will display only active accounts by default.

USPS-R Releases
Bug Fixes
W2 Submission Files
CCA:
A new field called State Control Number was added to City Payroll Item Configuration screens.Â
This field would contain 5 digits for City Control Numbers and 3 digits are for County Control Numbers. Users should enter the 3 digit county control numbers in the City Payroll Item for Indiana Counties. This will put the 3 digit or 5 digit (if entered for cities) in position 331-337, right-justified, on the CCA RS record. If there is a 3 digit control number entered, then position 308 will have code "D" for Deduction type. If the control number is blank or not 3 digits, position 308 will have the code from the city payroll item for Deduction Type.Â
RS record improvements:
The correct state code number will be used in positions 3-4 and positions 274-275. Prior to this change we always moved Ohio state code number (39) to these positions.
18 for IN
21 for KY
26 for MI
42 for PA
54 for WV
RITA
RS record improvements:
Position 3-4 will have the correct state code based on the state being reported. Prior to this change the state code 39 (Ohio) was always used.
18 for IN
21 for KY
26 for MI
42 for PA
54 for WV
Update made for an issue when importing Attendance and using Post to Current and payroll used additions, so retirement day counts will now be correct.Â
An earlier update to RITA and CCA submission files caused a possible 'null point exception' error and the error would prevent the file from completing. This was corrected.
Corrected an issue with a Dock Pay Type with hours not correctly being reflected on the Pay Report and retirement reports.Â
Changes on the 6.84.0 Release caused an error ('null pointer exception') with the Attendance / Absence Import. This was corrected.Â
Improvements
A validation to the EMIS Entry>EMIS Contracted Service>Local Contract Code field. The system will now allow the value to be blank or 3 or less characters. If save the record and the value greater than 3 characters, the save will fail with error - 'Local Contract Code Must be 3 Characters of Less.'
The update of Dock Pay Types will now be listed as negatives values on payroll checks and direct deposits was actually released.
If no description is found for a dock pay amount, the abbreviation DCK will be used.
The 'STRS Advance' field was removed from creating and reviewing Employee Onboarding>Compensation. The 'STRS Advance' checkbox will also be unchecked when the Compensation is created.Â
Attendance/Absence Import now allows double quotes around values in the CVS file. For example, "01/25/23, 01/24/23".
Updated the Payroll Accounts and Payroll Accounts - New 'Include Archived' to be consistent with each other. Prior to the change, if the Position or Employee was archived you had to select 'Include Archived Employees/Positions' in the Payroll Accounts - New grid to see them and in the Payroll Accounts you had to select 'Include Archived' to see archived Positions or archived Employees. In both views, archiving a Position or archiving the Employee will also archiving the Payroll Accounts - unless the 'Include Archived or Include Archived Employees/Positions' checkbox is checked.
New Features
A new option has been added to the Core menu called Leaves- New. Â
The 'Create' button allows an initial balance to be entered (provided that you do not attempt to create leaves for an employee who already has leaves in which you are taken to the Edit view for the existing leaves and can not enter a new balance).
Replacement for Classic's RPTSUM is now available. Reports>Reporting Entity Count Summary Report.
Use quarter dates when running for ODJFS weeks.Â
Use payroll start and stop dates (not pay dates) when running for retirement days.
Dock Pay Types will now be listed as negatives values on payroll checks and direct deposits.
If no description is found for a dock pay amount, the abbreviation DCK will be used.

Bug Fixes
Transactions>Items:
When splitting items, if the original item is no longer capitalized due to the split, the capitalized flag is now being updated to reflect the correct value. Previously the grid would have to be refreshed in order to see the correct value of the capitalized flag.
Transactions>Transfers
Updated the transfer UI to allow processing transfers for all statuses considered active. (which includes Active, New Item, Excess Asset Held For Sale, or Excess Asset Not In Use). Previously transfers could be posted for Active only.
Enforce transfers that need to be deleted be done in order by transaction date. the user should only be allowed to delete the last (based on date) transfer and not be able to delete an earlier transfer first.Â
GAAP Reports - causing balancing issues between prior year ending and current year beg
Acquisition amounts on the Fixed Asset by Source and Schedule of Change in Fixed Asset reports no longer include amounts for "Payment" type acquisitions. The beginning balance and capital leased amounts on the reports were including these amounts but have been updated to exclude them.
Included in this change was another update to the beginning balance value. The beginning balance would display as 0.00 if an item did not have an acquisition transaction. The beginning balance value will now return the item's beginning balance if no acquisitions exist for the item.
Miscellaneous:
Some User Interfaces were corrected to properly display any validation errors and remain in Edit mode to allow users to correct the invalid values.
Depreciation:
Fixed the depreciation of an item disposed of in a fiscal year that has been reopened, The depreciation service was updated to remove the depreciation transaction(s) associated with the item that was disposed of. This fix also included a patch to find and remove any depreciation transactions related to items disposed of in years where a depreciation transaction still exists.  (i.e. so if I re-open FY22, dispose of an item, re-close 22, the depreciation transaction that was created when I originally closed 22 has been removed).
The patch above was erroring out when encountering a disposition with a null date. This failed the patch and prevented the application from starting so we hotfixed the patch to be null-safe when looking at the date
Improvements
A User Listing Report has been created and is similar to what is available in USAS & USPS. The report shows the username, name, last login, enabled flag, password expiration, external authentication flag and roles/permissions for the users. Report parameters allow for excluding users or roles and filtering for enabled/disabled users only if desired. The report can be generated in PDF or TXT formats.
An error has been added to the UI when attempting to create an item without an amount. In the acquisition window the UI will no longer allow a user to continue to save the item without adding an amount value.
