ODDEX Release v4.19.0

This outlines updates to the ODDEX application included with release v4.19.0 on April 18th, 2024.

Enhancements

• Grad - Modified the Progress Reports screens and exports to exclude any records marked as inactive.
• Grad - Modified the Progress Reports screens to use a different source file for displaying the cohort year.  This change was made for consistency.
• Grad/Program Codes - Modified the user interface of this option to provide a new summary screen for all students enrolled at the district that have a program enrollment record for the selected school year.   The summary will be 1 row per SSID.   When a particular student is selected from the summary, a detail screen for only that student is available.   This detail screen will include all program codes associated with that enrolled student regardless of what IRN reported them from the selected school year and prior school years.   The program codes can be exported as needed for a student from this detail screen as well as the summary screen.
• CNDC - Added processing within the Export option to record each time the Vendor Export is run.   This change is in preparation for data DEW will need beginning in school year 2024-25.
• ODDEX - All references to ODE where change to DEW.
• SOES/CNDC - Modified import of contact data to improve performance.

Problems Corrected

• CNDC - Corrected a problem with the manner CNDC was deciding if the match needed to be ran for a district.   The check on this was causing the match to run a day after the data was uploaded as opposed to on the day the data was uploaded.

ODDEX Release v4.18.0

ODDEX Release v4.18.0

Enhancements

• GRAD - A new module is added to the ODDEX application.   The Progress Towards Graduation (PTG) option is under the GRAD module found on the navigation bar.   The roles needed to access this module may be found here.  The documentation for this module may be found here.

ODDEX Release v4.17.0

This outlines updates to the ODDEX application included with release v4.17.0 on March 13th, 2024.

Enhancements

• PTG - Updates needed to begin import of data for this new module.   The UI for this module is expected to be released within a few days.
• SCR - Updated rules for school year 2023-24 to exclude records with the updated exit status reason from the checks.
• Records/Single Student - Modified the displayed data to include a new date field.   This date will represent the last date the district reporting a student had their SCR submissions processed into ODDEX.   This date may be helpful during resolution of conflicts. 
• CNDC - Modified the vendor export configuration so a district can no longer disable the 'Run Date' from the export data.   The 'Run Date' is imperative in proper reporting of Child Nurtition data, thus this change.
• ODDEX - Modified the manner the filters are cleared.
• SOES/CNDC - Data imports were modified to exclude cases where a mismatch of contact data is submitted.  Contact data without a pair of FF and FG records for a single student will be excluded and not imported.
• CCP - Modified the display screens for the Higher Ed Agencies so they no longer see references to 'Districts'.   They will instead see those labeled as 'HEI'.

ODDEX Release v4.16.0

This outlines updates to the ODDEX application included with release v4.16.0 on February 8th, 2024.

Enhancements

• SCR - Modified the FY24 SCR rules to exclude any records with the "EX" sent to reason from the conflict processing checks.
• ODDEX - Modified the data imports to improve the processing time of teacher data used in the claiming module.
• ODDEX - Removed obsolete processing code.

Problems Corrected

• CCP - There were unique situations where a funding override entered by an DEW staff member was deactivated causing the CCP entry to be re-opened for flagging.  The processing was changed so the funding overrides entered by DEW staff take priority and are not inactivated or removed by automated processing.

ODDEX Release v4.15.0

This outlines updates to the ODDEX application included with release v4.15.0 on January 12, 2024.

Enhancements

• WBL - Made modifications to the import process for courses.   This change will improve a districts ability to find students and courses that qualify for the employer WBL tax credit.  It will take until next week for this to be fully implemented so all courses are visible in ODDEX.

ODDEX Release v4.14.0

This outlines updates to the ODDEX application included with release v4.14.0 on December 19, 2023.

Enhancements

• CNDC - Modified the manner the application is marking students who are eligible for meal benefits based on a prior district enrollment.   Students with this eligibility will be marked with a 2 character code to indicate how they qualified for the meal benefit at the prior district.  These 2 character codes will appear in conjunction with the PriorDist indicator.

• CNDC - Modified the match processing to run nightly.

• CNDC - The Upload would not complete for the special case students ESCs needed to manage meals for.

ODDEX Release v4.12.0

This outlines updates to the ODDEX application included with release v4.12.0 on November 8, 2023.

Enhancements

• SCR - Added the new updated exit status field, FS380, to the data accepted and stored for ODDEX.   This element will not be displayed within the application at this time.
• CCP - Adjusted the approval of split courses to assist in making it more clear to the districts which entity is responsible for payment of these courses.   The end user will see a new pop-up warning box if marking an 'Approve' for a split course as this is a rare case.  
• CCP - If a course is not showing as split, the 2 review flags specific to split courses will no longer be available options.

Problems Corrected

• CNDC - Correct a problem with the data import introduced in release 4.11.0.

ODDEX Release v4.11.0

This outlines updates to the ODDEX application included with release v4.11.0 on November 3, 2023.

Enhancements

• SCR - Added an icon to show a generated conflict involves a claimed student.
• ODDEX - Updated logo to reflect change from Ohio Department of Education to Ohio Department of Education and Workforce.    Users will also noticed some references to ODE are changed to DEW.  Additional updates will be made over upcoming weeks in both the application and the wiki page documentation.
• CNDC - Update to algorithm to further improve performance of the student-data matching.
• CNDC/Upload - Modified to use a 7/1 enrollment start date in the current school year if the upload file does not include a specific enrollment start date,
• SCR - Updated to include the option of excluding records claimed by my IRN in the conflict listings.
• ODDEX - The wiki page documentation for all of ODDEX has been moved to a new URL.   Ohio District Data Exchange (ODDEX)

Problems Corrected

• CNDC - SSID changes were not properly identified and processed.
• CNDC/Upload - Corrected an issue that prevented a district from using a value of "U" in the gender element as documented.
• SCR/Not Reported, Mismatched - The conflict IRN drop down was not including the proper IRNs involved in the not reported/mismatched conflicts.  
• CNDC/Upload - Corrected issues with the enrollment start/stop date checking.   Records with an end date before a start date will no longer be allowed.  Enrollment start/stop dates will be validated to ensure they are within the selected school year.

ODDEX Release v4.9.0

This outlines updates to the ODDEX application included with release v4.9.0 on September 29, 2023.

Enhancements

• CNDC - Improvements were made within the matching routines to reduce the time to complete.
• CNDC - Removed the Qualified Date from the export data.
• Users - Modified the display of roles shown under View Access to only include those that apply to the district selected in the navigation bar.  Previously, if an individual had access to more than one district, all roles, for all assigned districts displayed, which slowed the display process down.

Problems Corrected

• CNDC - The Run Date included in the export did not always have the correct date.

ODDEX Release v4.8.0

This outlines updates to the ODDEX application included with release v4.8.0 on September 14, 2023.

Problems Corrected

• Login - Some users were experiencing a problem attempting to access ODDEX.  This was due to a trailing space in the email address from the user's OHID account.  An update has been made to strip off the trailing space allowing the user to authenticate and access the ODDEX application.  

Enhancements

• CNDC - Updates were made to the exports and the summary listing to clearly show how a child is eligible for free or reduced meal benefit.  Qualified By will now show SNAP, TANF or Medicaid.   For the summary listing, a Free/Reduced column has been added where the individual matches are displayed.  The new Free/Reduced column follows the Qualified By column. 

ODDEX Release v4.7.1

This outlines updates to the ODDEX application included with release v4.7.1 on September 8, 2023.

Problems Corrected

• CNDC - Resolved an issue that prevented certain student enrollment situations from being included as a match against ODJFS provided data.   Following the match run that starts tomorrow 9/9, these student will have a match indicator on them.

ODDEX Release v4.7.0

This outlines updates to the ODDEX application included with release v4.7.0 on September 1, 2023.

Enhancements

• CNDC - Updates have been made to the matching process to reduce the number of potential matches on students with a matching last name plus minimal additional data elements.  Districts will see previoulsy identified potential matches become a non match with this update, if the student was not manually matched by district staff.
• ODDEX - Updates were made to return users to the current OH|ID web site URL.

ODDEX Release v4.6.1

This outlines updates to the ODDEX application included with release v4.6.1 on August 23, 2023.

Enhancements

• CNDC - Updates have been made to the matching process to alleviate issues with the process taking too long to process through all of the CNDC participating agencies during the scheduled runs. 

Problems Corrected

• SCR, CNDC - Corrected an issue with the importing of SCR data pertaining to those districts that are participating in CNDC.  This issue affected single districts SCR submission.  

ODDEX Release v4.6.0

This outlines updates to the ODDEX application included with release v4.6.0 on August 18, 2023.

Problems Corrected

• CNDC - Issues with the Upload option have been addressed and corrected.  The Upload option is once again available from the CNDC menu drop down. 
• SOES - There was an issue with the import of contact data.  This problem has been resolved.  Districts that have submitted SOES contact data should see this data reflected in the SOES module after this weekends processing.

ODDEX Release v4.5.5

This outlines updates to the ODDEX application included with release v4.5.5 on August 11, 2023.

Problems Corrected

• CNDC - There were several districts that had used the upload option earlier in the week resulting in some data issues.  Due to the data issues, the matching routine could not be ran against any of the CNDC data.  The matching that was to have run overnight Wednesday (Thursday morning) did not run.  This update corrects the issues with the data so that the matching may be reinstated for it's regular runs.  For EMIS reporting entities, if you have submitted SCR data since 8/8/2023, those submissions will be processed into CNDC over the weekend.  The matching routine will also be executed over the weekend.    
  
  The upload option remains disabled until all of the issues that were discovered earlier this week are corrected.   
  
  Currently the matching is running overnight Monday and Wednesday.  It runs Saturday throughout the day.   

ODDEX Release v4.5.4

• CNDC - Upload option has been temporarily disabled due to problems that have been identified.

ODDEX Release v4.5.3

This outlines updates to the ODDEX application included with release v4.5.3 on August 8, 2023.

Problems Corrected

• CNDC - If district attempted to upload data with the selected year in the navigation bar set to 2023, the upload was aborting with a stack dump.  This has been corrected to issue a user friendly message stating the selected year is not valid for ODDEX/CNDC. Years prior to 2024 are handled thru Legacy CNDC. 

ODDEX Release v4.5.2

Enhancements

• CNDC - Updated the module authentication to no longer provide default access for any OEDS roles.  Any user needing access to the CNDC module will have to be assigned roles by their district OEDS Administrator.

ODDEX Release v4.5.0

• Records/History - In the additional data display, the attending building name will now be displayed along with the IRN.

• Records/Bulk Export - Corrected a problem where data for students claimed by my IRN was not being included in the export output. 
• ODDEX - The Global Search from the navigation bar was not functioning properly in all cases when linking to the SCR module.

ODDEX Release v4.3.0

This outlines updates to the ODDEX application included with release v4.3.0 on March 8, 2023.

Enhancements

• Setup/Agency - Added the 4 digit tax ID code to the data being stored.   This value will be used in the future Child Nutrition Direct Certification (CNDC) module of the application.  This value is not visible in ODDEX at this time.

Problems Corrected

• Records/Single Student - Corrected an issue with the generation of the PDF output.   The How Received IRN was missing from this printable report.
• Setup/User - The data entry of the email address was allowing the user to include spaces within the email address or trailing it.   These spaces could prevent future logins to the entire ODDEX application for this individual.

ODDEX Release v4.2.1

This outlines updates to the ODDEX application included with release v4.2.1 on February 22, 2023.

Problems Corrected

• SCR - Corrected an issue that caused the Conlficts option to generate a stack dump under certain circumstances.
• CCP - The Higher Eds were unable to utilize the 'export' options.  This issue has been resolved and the export should generate an output file in the chosen format that includes the selected students.  This problem did not impact LEAs and their ability to export.

ODDEX Release v4.2.0

• CCP - The labeling used for the placeholder courses created by ODE has been changed to provide clarity.  These are now referenced with 'Courses reported by district and not by college'.

• SCR - When using the New selection options, the prompt to enter Days Since New did not appear for the user.   This problem was introduced in v4.0.0.
• Records/Single Student/History - Corrected an issue with the hover over for the gifted flags.  The formatting was not correct.   This problem was introduced in v4.0.0.

ODDEX Release v4.0.0

This outlines updates to the ODDEX application included with release v4.0.0 on December 19, 2022.

Enhancements

• ODDEX - All of the ODDEX user interface has been modified to be a more friendly format.   Users will experience changes in the look and feel of the screens and selection options, but there are no true functionality changes.   There are some screens, such as the ones where the expand and collapse exist, these have a different method of expanding/collapsing with the end result being the same.   Users may also notice slight differences in the appearance of the navigation bar, global SSID search, along with the screen changes themselves.    Note: The wiki documentation pages have not been updated to reflect all the screen changes as of the date mentioned for this release.

• SCR - Modified all the 'Help' links to point to the new SCR documentation wiki pages.  These links and updated documentation match up to the SCR menu drop down found within the current navigation bar.
• Records/WBL - Adjusted the manner the random Document Number was generated.
• SCR - Modified the data imports to remove numerics and/or special character formatting from the student first name if that formatting resembles a social security number   In rare cases, a student first name may import blank with this change.

Problems Corrected

• SCR - Corrected an problem with the SCR  extract introduced in v3.57.0.  The extract would return zero records if the user entered any specific selection options.
• Records/WBL - Corrected the generation of the PDF report to ensure that ODE staff are not able to generate a PDF containing a student name.  ODE staff are unable to see student name from the document review option as well.

• SCR - Update to the module to improve performance.  The user will see changes to the navigation bar requiring a primary selection of Students, Conflicts or Not Reported/Mismatched.  After the initial selection, districts will see the various options to find records.  Users are required to enter their choices and click on 'find'.   By default for the conflicts, inactive records are excluded.    When records are displayed, the user will see those listed by SSID as opposed to by conflict, as was the case prior.    If one student has 2 conflicts, those will be listed together.  To view the conflict detail, one should click on the conflict code.   To view the data as reported by your IRN, click on the student. 
• SOES, Tuition - Performance improvement related to uploaded documents.

This outlines updates to the ODDEX application included with release v3.56.0 on October 5, 2022.

Enhancements

• Records - Added new options to the drop down for Work Based Learning Tax Credit Documentation.  The user will have the option to create the tax credit documents as well as to review all those created.   The roles needed for this portion of the Records module can be found here. 
• Records - Bulk Export - Added more detailed explanation to the screen for use of these options.
• Records - Assessments  - Modified the viewable test scores to include all those reported by the reporting IRN regardless of the date withdrawn for a student.

Enhancements

• SCM - Modified the prompt for the student first name to include a note that suffixes, such as Jr, Sr, II, III, etc should not be included.   Having suffixes included in either the first or last name being searched for, may prevent a match.
• CCP - Changes were made to improve the performance surrounding course and payment displays.  
• Records - Special Ed Tab - Added a new link on the display of Special Education records that allows a district to view the Special Ed Graduation Required data as reporting on the EMIS FE records.   For any student with this data reported, a link will show to the far right, Grad Exempt.   After clicking on this link, all Special Ed Graduation Required data for the student associated with the Special Education record found on that row, will display. 
• Records - Bulk Export - Added the ability to bulk export the Special Education Graduation Required data.   The users will be required to create a CSV containing the SSIDs they wish to export data for.   This CSV file creation is similar to how the other bulk export options work. 
• Records - Assessment Tab - Added a displayed note at the bottom to remind users that Beginning with the 2021-22 school year, Accomplished replaces Accelerated in the Score Level Label.  Prior year test scores will continue to display as Accelerated unless re-reported in 2021-22.

• ODDEX - Enhancements were made to improve logins for ODE staff.

Problems Corrected

• CCP - The option to see the Reports under the drop down was available when the IRN selected was not a Higher Ed.   This was a problem only for users with access to more than one district type.
• SCR - Corrected a case where SCR returned 'No data to Display' when there actually was data to display. 

ODDEX Release v3.53.0

This outlines updates to the ODDEX application included with release v3.53.0 on 21-Jan-2022.

Enhancements

• CCP - Added a new report option to this module.   Users will now have the ability to generate a PDF formatted report that will provide a listing of all the ODE generated courses.   This report is available to both district staff as well as higher education staff.   To generate this report, there is a button the user must click on. 
• Records - History> Single student.  Added an option to print the details found on the screen in a PDF format in addition to the print screen functionality.   To generate this report, the users will click on the PDF icon on the screen. 
• CCP - Completed a change to allow a course that was inactivated at one point and then reactivated on a later date, to be re-opened for review flagging.   The district will have 45 days from the reactivation date to review.

Problems Corrected

• Users - Corrected a rare case where the ODDEX roles did not get re-instated properly for an employee who previously had the roles revolked in OEDS.

• Records - Bulk Export - Added the ability to export a group of students from the Grad Cohort data tab.   The user must create a CSV formatted file with the SSIDs data is desired for and upload it, similar to the other bulk exports.   The data exported will include all the grad cohort data found for each SSID found in the CSV and include in the cohort tab.  The user can then upload the output file to a spreadsheet and manage it as needed.
• SCM - Modified the school year display to be 20xx - 20xx consistently through the entire module.
• SCM - Modified some of the displays to be more meaningful to the end-user.
• ODDEX - At the record age drop down selection prompts, the description now includes 'Days' to make it clear what that range of values represents.
• ODDEX - Upgrades were made to the database server used by the application.

Problems Corrected

• SCM - If a user has access to multiple districts, they were allowed to switch to another district while in the middle of a claim for a student.   This was happening only under certain conditions and should no longer occur.
• Records - History - Students were being listed multiple times in the summary listing with each one going to the same detail data.   This problem was introduced in a recent release.

Enhancements

• Records - Single Student - Modified to adjust the extraction of single GD tests to subtract 500 from the test score for 2021 and beyond records.   This change was completed based on ODE updates for these tests.   Prior year tests are not impacted.
• Records - Bulk Export - Modified to adjust the extraction of GD tests to subtract 500 from the test score for 2021 and beyond records.   This change was completed based on ODE updates for these tests.  Prior year tests are not impacted.
• Setup - Users - Modified to display the last login date on the summary screen.

Problems Corrected

• CCP - Corrected a performance issue with the query and display of CCP records.   This issue was introduced into CCP with update 3.45.0 in March.
• CCP - Corrected a problem with the display of courses as submitted by school districts.   If a course was submitted to ODE and then later not submitted, that course was still being displayed in ODDEX.   This has been corrected and the course list being displayed will match what the district has most recently reported to ODE as part of their staff/course reporting.

ODDEX Release v3.46.4

• ODDEX - Users with an email address which was in an invalid format were unable to log into ODDEX.  Any user with an invalid email will now be able to log in, but will be redirected to the User module setup screen to enter a correctly formatted email address.

ODDEX Release v3.46.0

This outlines updates to the ODDEX application included with release v3.46.0 on 4-April-2021.

Enhancements

• ODDEX - Updates included to synchronize the users and roles in ODDEX with the users and roles assigned in OEDS at each IRN.   Nightly, the processing will ensure the users and roles set up in OEDS matches the users and roles in ODDEX.    This will eliminate cases where an employee leaves or retires and still shows in the User list found within ODDEX.   Upon the initial login after this update is in place, users will be required to examine their User setup and update or accept.   Users are asked especially to review email addresses and contact data included here.   The login process will not change.   When a user logs in, their access and roles are defined real time with the OEDS values.
• SCR - The import process has been changed to eliminate the special characters such as "/" from a student's middle name.   These special characters are included by some Student Software vendors.  
• CCP - Change the icon for the enrl_split_but_my_lea_to_pay_all review flag to be a green check mark as opposed to a yellow exclamation point.   This review flag represents payment is approved, thus the green check applies.
• SCR - Modified the SCR conflict rules to include the How Received = G in the EPCT, AFIC and AFPY checks.   This change may cause more conflicts to generate.
• SCR - Modified the SCR conflict rules to no longer exclude the 35 withdrawal code in the RFIC and STIC checks.   This change may close some conflicts and may cause others to open.
• SCR - Changed the process to make 'Exclude Hidden' and 'Exclude Inactive' the defaults when entering into SCR.   This will eliminate records with strike thru from displaying as well was as those conflicts the district has temporarily chosen to not see.   The user can override the defaults by unchecking those boxes and clicking the 'Find'.  This change was implemented to improve performance.

ODDEX Release v3.45.0

This outlines updates to the ODDEX application included with release v3.45.0 on 11-Mar-2021.

Enhancements

• CCP - Higher Education Entities (HEIs) will be provided a link to the ODE Report explanation pages directly from the page that displays the available reports.   When clicked on, the link will open in a new browser window.  More information on this can be found on the new HEI Reports wiki page.
• CCP - When a course involves a split payment between 2 LEAs the 'Approval' button is no longer available from the detail screen.   With these types of courses, the user will be required to go into the Review screen and make a decision on how this course is to be approved or a review flag set.
• CCP - Changes were made to prevent the "ENRL SPLIT BUT MY LEA TO PAY ALL" review flag from getting set to an 'aged out' status.   This change will cause the Red-X that shows on these course to change to a yellow exclamation point.
• ODDEX - Adjusted role mappings for ODE personnel.
• ODDEX - A user with only an SDC access role in OEDS did have the ability to log into ODDEX.   This is no longer the case.   Only roles specifically outlined in the wiki documentation page will have access to ODDEX.  An ITC staff member with the SDC OEDS role only will continue to have access to ODDEX as before.

• SCR - Additional modifications were made in the SCR module to apply SSID changes submitted by districts starting in FY21.    Users will begin seeing additional fields in the application that indicate 'Prior' and 'Current' SSIDs for a student. 
• Records - History - Additional modifications were made to apply SSID changes submitted by districts.    Users will begin seeing additional fields in the application that indicate 'Prior' and 'Current' SSIDs for a student.   These updates will not merge data for the 2 SSIDs involved in the reported change.  Data for both SSIDs will be visible in the year reported.

• ODDEX - All exports, except for the FA flat file export, now have a format option.   The user will have the ability to export data in comma separated (CSV) or tab delimited format.   The default is set to tab delimited.  
• CCP - The school year drop down in CCP has been updated to remove the 'All' option.   CCP data is managed per school year and the 'All' option does not apply.   Users wishing to identify a student with CCP data in a specific school year can utilize the 'Global SSID' search from the Navigation bar.

• CCP - Corrected a problem with the display of agreements.   Under certain circumstances a single district user was able to view agreements for every district, not just the agreements for their own district as designed.
• SOES - Corrected a problem where a traditional district could get redirected to a community school's data, which then created a 'no access' type error.

ODDEX Release v3.41.0

This outlines updates to the ODDEX application included with release v3.41.0 on 20-Nov-2020.

Enhancements

• CCP - Changed the default sort order of the reports visible by the Higher Eds so the most recent are at the top.
• CCP - Modified to no longer display the status icons for home schooled or non-public students.   These students can't be reviewed by a resident district, thus the status does not apply.

ODDEX Release v3.40.0

This outlines updates to the ODDEX application included with release v3.40.0 on 13-Nov-2020.

Enhancements

• SCR - The data import was modified to include Native Language and Racial Ethnic Group.   These were added as part of the SLDS Grant and will be used within the ODDEX application at a future date and are not visible in the user interface.
• Records - Bulk Export was modified to include a tab delimited export of the Special Education data.   For a district to utilize this option, they must create a CSV file of the SSIDs they wish to export the data for.   The Bulk Export will then find the special educaiton records matching the SSID and export.   The functionality is similar to the export used for the Assessment data.   Districts can also use specific selection options during this export processing.
• SCR - Modifications were made to the import of the SCR data as an initial step to complete SSID changes within the applications.   With this update, users will see stop dates being applied to the prior (incorrect) SSID enrollment records in SCR and will see new enrollments added under the current (correct) SSID.   The new enrollments will now reflect all dates the student has attended at this district.  Districts will see both SSIDs within ODDEX as active.    Districts will want to take note - this described change may create some additional conflicts that will need to be addressed.  It may also create some additional conflicts that can be ignored and hidden, but it also may close some when the stop date is placed on the prior (incorrect) SSID record. The end result with the conflicts will depend on the situation and the data involved.   The remaining update to fully implement SSID changes into ODDEX will be completed at a future, unscheduled, date. 

Problems Corrected

• SOES - Corrected an issue that would generate a error and a stack dump in rare cases.  In very rare cases, a user may have been incorrectly granted access to Community School/STEM SOES. When the user would attempt to access the SOES module, it would result in a stack dump since the user's agency was not that of a Community School or STEM type.

ODDEX Release v3.39.0

This outlines updates to the ODDEX application included with release v3.39.0 on 10-Sept-2020.

Enhancements

• CCP - Modified the display of data provided during the Review process to include all prior comments.  This is being provided as reference only.   These can not be changed, only new comments can be added.
• CCP - Modified the age out process for courses, so it will now mimic the age out used for agreements.  Instead of always using the last update date as a basis for calculating the 45 days, the application will now use the later of 2 dates; the last update date or a specific date.   Those specific dates will be different for each term and are as follows:

ODDEX Release v3.35.0

• SCR - Added an option to select by the IRN involved in a conflict or not Reported/mismatched situations.
• SCR - Adjusted the conflict rules to properly handle the foster care how received codes.  These will no longer be considered in the checks.
• ODDEX - Modified access for ODE Area Coordinators.  This change grants Area Coordinators access to all on-line community schools data within ODDEX.   This will improve their ability to assist with conflict resolutions for both resident districts and community schools.

ODDEX Release v3.34.0

Enhancements

• ODDEX - Numerous updates were applied to the underlying base software.  None of these updates are visible from the user interface, however the changes did impact the manner the application functions.   Users should report any abnormalities not included as specific changes in this 3.34.0 release note entry to their ITCs.
• CCP - Added selection on students with generated Higher Ed courses.
• CCP - Removed the earliest age out date on generated courses.   An earliest age out does not apply to these generated course as these are not eligible for any funding considerations.
• SOES - Added a query for the community schools and resident districts to select those students having uploaded documents.
• SOES - Added a query for the community schools to allow selection of students who are Auto Approved with new comments.  This will assist the community schools with finding records the resident districts have posted comments on, likely questioning residency before the resident district has the option to escalate to ODE.
• ODDEX - Navigation Bar - The navigation bar has been reorganized to provide better flow and usablility.   The most often used options are to the left of the Global SSID search box, the less used options are to the right of the search box.   Some options are now combined and are under a drop down selection.    The Calendar is now under SOES.  The Users and Agencies option are now under a Setup option.   The options on the navigation bar depend on your OEDS assigned roles.
• ODDEX - Changed the color of the bar where users select the IRN and year.   This provides a better visual separation from the Navigation Bar.

• SOES - Added the ability to upload documents for both a community school and a resident district.   The LEA uploading the document, will also have the ability to delete it.  The types of documents that can be uploaded are limited.  The user interface as well as the wiki documentation provides a list of the acceptable types. The ability to upload is only available after a review flag is set.  Districts will have the ability to download those documents for 120 days after the upload date.   At that point, the document download will expire.   All activities surrounding a document upload and download will be recorded for audit purposes.  Please note that ODE personnel can see the audit details regarding the upload and download, but ODE staff do not have access to view the documents.
• SOES - The Resident District view was modified to eliminate the student detail pop-up screen.   A page will now display the same formatted detail record with a Return to Summary button.

• CCP - Modified the icons in the display grid to include a 'Red-X' on all courses generated by ODE appearing in the Higher Education section.  These courses are never funded by ODE.

• Tuition - Additional wording was added to the document upload page to indicate district staff should not utilize student identifying information in the file names or in the descriptions since ODE personnel can see this detail.

ODDEX Release v3.28.0

This outlines updates to the ODDEX application included with release v3.28.0 on 16-May-2019.

Enhancements

• Records - Single Student/History Tab - Additional data, such as Attendance and Grade Level, will be included in an offset data box on the screen directly beneath the enrollment information for a student.   The data will be one entry per reporting year and will be the last such data reported by the entity under which it is listed.  If a student is reported by multiple entities in a reporting year, there will be an additional set of data included for each one, each in its own separate box immediately following the enrollment.  The Reference Date will represent the actual date the data being displayed was pulled from.   The data is being loaded into ODDEX starting with 2019 and moving backwards to 2015.   Data for earlier than 2015 will not be made available in ODDEX.  The Reference Date will not change with each "S" submission to ODE by a district.  The date will only change when a district reports a new value for one of the elements being displayed.  Any updated data will be imported into ODDEX nightly, as transferred from ODE.   This data is not being populated by the SCR submission as the enrollment data on the History Tab is.
• ODDEX - All the help within ODDEX is now at the module level.   When a user is within a specific module, a Help link will appear.  When clicking on it, an additional browser tab will open and the users will be taken directly to that section of the wiki help.   The primary Help link on the Navigation bar has been renamed to ODDEX Help.   When clicking on that link, the user is taken to the main Help page of the ODDEX wiki documentation as before. 

ODDEX Release v3.27.0

• Records - Single Student - Modified the user interface to make returning to the summary grid to select another student less cumbersome.  The users will now see a Return to Summary button.
• CCP - This module of ODDEX has been redesigned.  The display of the records is now SSID based.  Users will see 3 primary sections of data.  The Higher Education Reported Data, LEA Payment Responsibility and K12 Reported Data.   Districts will review courses from the Higher Education Reported section.  The review process itself has not changed.  As was the case prior, districts will have the ability sort, select and to export records.  Different from the prior functionality, there is no side-by-side grid display in a match-up format.  Note:  The online documentation for these changes to the CCP module was completed on 1/23.
• SOES - Access was modified for an LEA superintendent if that LEA is a sponsor to a community school.   The superintendent of the LEA no longer has default access to the students within the community school.   If the community school wants the sponsor superintendent to have access, the appropriate SAFE roles for data access will have to be granted to them.

• Records - Single Student - Added the option to select assessments based on a range of dates.
• ODDEX - Modified the manner 'All' years is handled to prevent the application from aborting.
• Landing page - Added a district drop down to the secondary navigation bar to allow anyone with access to multiple districts the option of selecting just one.   For those will access to multiple entities, the page will be empty until a district selection is made at the drop down.  Selecting 'All' from this drop down will provide the same functionality as prior versions of the application.  If a user has access to a single district, that district will be selected by default.
• Landing Page - To further improve landing page performance, all grids within the landing page will show as collapsed/hidden when first logging into ODDEX.  District personnel will have to click on 'Show' to get the counts for the application areas they wish to view.   Once the grid is expanded, it will remain so for the remainder of the login as one returns to the Landing Page, unless hidden by the user in the interim.  

ODDEX Release v3.23.0

• SOES - Added a selection of all records approved for funding.  This option is a check box and is available to Resident Districts.
• Records - Single Student - Added the optional check box to select only students with assessment records. This provides the ability to narrow record searches. 
• SOES - Removed the FTE element from the Resident and Community School screens as it will not be populated.
• Records - Assessments Tab - The user interface for the single export of the FA EMIS formatted record was changed to make it more user friendly and to require less clicking.
• SCR - The SCR rules are running against the 2019 data.   As a reminder, conflicts will not be flagged until all entities reporting an SSID have reported data in the SCR collection request.
• Records - Grad Cohort - Added new tab to the application under the Single Student.   This new tab will include a display grid of a student's Grad Cohort related data and is represented by Grad Event codes.   The data will load into ODDEX gradually by the date an event occurred, starting with the oldest records.  The Grad Cohort tab nor any records will be visible until data for your cohort students is loaded.   Districts will see an alert in ODDEX when all data thru 2018 has been imported.    Documentation for this new ODDEX application tab can be found here. 

ODDEX Release v3.22.0

This outlines updates to the ODDEX application included with release v3.22.0 on 7-Jun-2018.

Enhancements

• Navigation Bar - History link has been renamed to Records and will now include a selection drop down.   The 2 options will be Single Student and Bulk Export. The Single Student replaces what was the History option from the Navigation Bar, the Bulk Export would be used to mass export data for students.   See next entry.

This conflict will represent an issue with the percentage of time being reported for the student by the 2 or more entities involved.   Districts seeing this conflict will want to review reporting instructions for this scenario.
• Tuition - Records flagged with a Data Quality Issue will now age out.   When the records are older than 30 days, districts will see an AGED_OUT review.  
• SOES - Added the ability for Resident Districts to escalate an AGED_OUT review.

ODDEX Release v3.17.0

• ODDEX - General changes have been made to the icons used in SOES, CCP and Tuition.  The icons will provide a consistent visual reference.  In general a Red-X will represent no funding, a yellow exclamation point will represent attention is needed or not yet reviewed data and a Green check mark  will represent approved for funding or aged out.  Users will still want to select records to see all details. 
• SCR - When a district has a conflict Hidden and data changes on the student during a new SCR submissions, the Hidden is removed.

ODDEX Release v3.16.0

• SOES - When escalating a record,  the user must select an escalation flag if a comment is entered.

Problems Corrected

Problems Corrected

• SOES - Corrected an issue that would have left an escalated to ODE active when the flag the district had escalated was closed or cancelled. This only occurred for records which had been auto approved and escalated to ODE.   The end users would have noticed these in the escalated counts on the landing page, but when selecting the hyperlink, the associated review was closed or showed with a strike-thru.  The Escalated will now be closed with the associated review.
• History - Assessments - Corrected a problem that caused duplicate assessments for a student, listed under 2 different manifests.   Note: The duplicate records associated with this bug remain in the data and will be displayed.   Watch for a further update in these release notes on the removal of the duplicates.

• SCR - The rules for AFIC and AFPY were modified to only generate conflicts involving admitted students that withdrew from the prior district under a 41 or 45 withdrawal code.   Withdrawals involving any other code will not be included when considering if an Admitted from IRN is needed. This change will cause a number of existing AFIC and AFPY conflicts to resolve and become inactive.
• SCR - The rules for AFIC and AFPY were modified to better check the withdrawals and admissions that occur during the summer months. This change will cause a number of existing AFIC and AFPY conflicts to resolve and become inactive.

• Tuition - Corrected a problem where the specific selected fields were not properly cleared.  This caused inaccurate records to be displayed when a specific query was selected then a user returned to the landing page and selected a count from a hyperlink on the landing page.   The records displayed still took into account the specific query selection.   
• Tuition - Corrected an issue that caused the application to abort when an annual rate for a district could not be found.

• History - Corrected an issue with the display of the student name from the Special Education tab.  In most cases, "Name unavailable" was being displayed.  The name displayed should be the last one reported by the selected agency.

ODDEX Release v3.4.0

• Tuition - Tuition data will be locked out from any updates to the contact data (parent and address) and placement data beginning on specified dates for the two reporting windows.  For 2017, the first window of tuition data will be locked out at midnight on May 15, 2017.  The second window of data will be locked out at midnight on August 5, 2017.  LEA's may continue to review the data, the lockout affects the updating of the contact and placement data by the Educating LEA only.
• History - The history detail will no longer be displayed using a popup window.  History detail will now be displayed through a tabbed page.
• History - The ability to view special education events through the History module has been added.  For those users with the appropriate SAFE role(s), within the History module, for any student which has special education events, a Special Education tab will be available that will list all of the applicable events for the student.  Further details on the special education data may be found in the documentation.

ODDEX Release v3.3.1

• Tuition - The address query filter, now labeled Parent/Address, has been updated to match the requirements for a reviewable Tuition record.  There must be values in the parent last name and address street 1 fields in order for a tuition record to be reviewable.  The Parent/Address query will allow records to be filtered based on this criteria.  Students with empty/no parent & address are those that are not reviewable due to the missing required fields.  Students with parent & address are those that are reviewable.

Problems Corrected

• Tuition - Corrected a problem with the query to select students with an empty/no address.  The query was looking at the address alone.  If any part of the address contained a value, the student was being considered to have an address which is not correct for Tuition reporting rules.   The empty address query was returning too few records.  Districts will want to review the results of this selection again and apply or add addresses accordingly.

ODDEX Update to Release v3.2.1

This outlines updates to the ODDEX application included with release v3.2.1, 27-Apr-2017

Enhancements

• Tuition - Updates were made to auto populate the contact data in Tuition Review Window 2, using the contact data from Tuition Review Window 1.  This contact data will be copied into Window 2 if the Educating district IRN and Resident district IRN reported in Window 2 is the same as what was reported in Window 1 and the Tuition record for Window 2 has a start date in January.   As a note, data submissions for Reporting Window 2 begin in May.   Also included in this update is functionality that will copy the contact data from one Tuition record to another Tuition record within the same Reporting window if the Educating district IRN and the Resident district IRN do not change.

• Tuition - The 30 day timer for flagging now includes a comparison on a specific "flagging start date" set by ODE.  The records will time out based on the later of this ODE defined date or the last updated date.  All records will move back to the 0-15 day counts with this change and will remain there until the timer begins.  May 1, 2017 is the designated date for the first 2017 Tuition reporting window.

ODDEX Release v3.2.0

• Tuition - Add a selection based on last reviewed date for Paying/Resident districts.

ODDEX SCR Checks

The cross data checks that process in SCR were changed on 1/13/2017 to correct a number of issues.

• ESCs are excluded from the How Received (RFIC) checks
• ESCs and JVSDs are excluded from the admitted from (AFIC and AFPY) checks
• Corrected a problem with the RFIC check causing a student that moved to a new resident district and then attended a JVSD from the new resident district to get an RFIC conflict in error.

ODDEX Release v2.8.0

• SOES - Corrected an issue where the review status reflected Inactive for a Residency which is active with no reviews.  This occurred when the Educating district submitted updates which caused the residency record active to be set to false at which time the review status is set to inactive.  A subsequent submission by the Educating district caused the residency record active to be set back to true, but the review status was not set back to Not Reviewed for those residencies which had not been reviewed by the Resident district.

ODDEX Release v2.7.0

This outlines changes to the ODDEX application that will be included with Release v2.7.0, 30-Sep-2016.

Enhancements

• CCP - Added last modified date to Agreements display
• SCR - Modified the import processes of SCR to include any submitted FL records.  When importing the FL, the corresponding open enrollment record from the prior year will be closed and a withdrawn reason will be applied to that same prior year record.  Districts will not see the FL records themselves in ODDEX.
• SCR - Modified the data checks in SCR to include an additional Sent to Reason.  Beginning with this update, any records with SE on them will have cross reference checks run against them.   Prior to this update, these were excluded in any checks.

Problems Corrected

• SOES - Corrected a problem with the auto approvals.  If a student was auto approved in FY16, and in FY17 nothing changed about the student except an increment in grade level, the student was not getting set to an auto approved status.  This has been corrected.   If a resident district set an active flag on a student that should have been auto approved but was not due to this problem, the resident district may remove the review flag as appropriate and the auto approval will get set.
• CCP - Corrected a problem where the alternate pay flag was not getting properly set during the extract of data. 

ODDEX Release v2.6.0

ODDEX Release v2.2.0

This outlines changes to the ODDEX application that are included with Release v2.2.0, 20-May-2016.

Enhancements

• ODDEX - Added a global find by SSID.  This option is located within the Navigation bar and is an SSID query across all student based modules, for all years of data.  When entering an SSID, the selection of records returned by the global find is determined by the reporting link a district has to that SSID.   A user only has access to an SSID they have a reporting link to.   If a user has access to multiple reporting districts, data related to all these reporting districts will be included in the results.  Once a grid listing the records is returned, the appropriate links can be selected and the records are viewable within that application of ODDEX. 

Problems Corrected

• SOES - Corrected a problem with the auto review processing that prevented a resident district from flagging records under certain circumstances.  This problem occurred on students who had been auto reviewed, then the Commmunity School later applied a data change and then the resident district applied a review flag.  In this scenario, the record was sometimes locked from further reviews by the resident district.

• SOES - Modified the selection on blank addresses to no longer include those linked to inactive records.  If an SOES entry is inactive and the address is blank, that record will not be included in the blank address selections.
• SOES - Added a new selection option to the find options.  Users will now be allowed to select data based on funding impact of flags.  The options will include those indicating a data quality issue, which have no funding impacts and students whose review flags do impact funding in some capacity.  Users may need to use multiple selection option choices to get the desired student data.

Problems Corrected

• SOES - Corrected an issue that caused random records to be omitted from the export files.  The data omitted was in the application, but was not getting included in the exported data. 

ODDEX Release v1.25.0

• SOES - FY15 data is no longer reviewable in terms of setting flags or removing flags.  Resident districts will no longer see the option to "Add review" or "Reviewed - No Flags/Flags Resolved".  The ability to add comments has also been revoked.

• ODDEX - Corrected an issue with the handling of the SAFE role Supervisor-EMIS. This SAFE role was not being taken into account previously when determining access to the ODDEX application, hence, a user with Supervisor-EMIS was not being granted the access they should have been. Users with the Supervisor-EMIS role will now be granted Read-Only access to SCR, SOES, History, User and Agency areas.

Problems Corrected

• SOES - Corrected a problem with the auto approval of SOES entries.  Under specific circumstances, the auto approval was occurring in error for students who withdrew in FY15 from a community school, returned to a resident district and then re-enrolled at the same community school in FY16.  This situation involved only students who were at the same physical address and had the same contact information between FY15 and FY16, these students were getting auto approved.  The legacy SOES application did not auto approve these students.  The ODDEX/SOES application has been modified to no longer auto approve these students either.   Resident districts will have access to flagging for any student meeting this criteria. 
• SOES - Corrected a problem with the auto approval processing of SOES entries that prevented a resident district from flagging when updates to contact data were submitted by a community school for a prior auto approved student.  When updates are now applied to the contact data for a student that had been auto approved prior, the flagging window will open on these students.  The 75 day counter begins on the date the contact data changed. Districts will see the auto approval with a closed date and flagging will be enabled.

• SOES - Added the functionality where residency records are set to auto-reviewed status during the import process.  This will occur when the data submitted by a community school did not change from the prior school year with the exception of the grade level and dates.  Once set to auto-reviewed the resident district can not review these records to set flags.  The auto-reviewed status will be removed if a community school later submits other data changes for the student, thus opening the 75 day flagging window. 
• SOES - Added auto-reviewed status to the selection options.
• ODDEX - Added a new column to SOES section of landing page to list the auto-reviewed records.
• ODDEX - Modified selections in the find to keep the options entered when changing between various screens.
• SOES - Added a selection option for students with a blank address.

• SCR - Adding sorting of records to pop-up screens.  Records will sort by active/inactive status and then start date within the status sort.  Inactive records will display at the bottom.
• ODDEX - Using the 'Agencies' selection from the navigation bar, district can now find and select any agency within the state that has submitted data.  Once the agency (district) is selected, contact information will be displayed.  This feature will be useful when needing to obtain contact data to assist in resolving conflicts.  Note that any data entered for an agency will be visible to all ODDEX users.
• SCR - Changed default when selecting SCR for the first time from the navigation bar, 'conflicts' is the default rather than 'students'.  After the initial selection, the default will also be the prior used option on this screen.
• ODDEX - Removed the 'County' column from the Agencies grid listings.
• ODDEX - Landing page - Updates were made to increase performance for those with access to more than one district.  Users will now see the grid populate per entity instead of all at once.

• ODDEX - Added additional cross checking to SCR for withdrawn to IRNs.  Districts will now see an additional column on the landing page that represents the count of any records reported having a withdrawn to IRN and the entity involved is not reporting the admitted from IRN as matching.  This will show under the 'Not Reported/Mismatch column and will have the conflict code of "WTIC" (Withdrawn To IRN Conflict) on the conflict detail pop-up screens and in the export. The ability to select by just these records will also exist in the 'Find' box.
• SCR - Added Admitted From IRN to Student detail pop-up
• SCR - Improved the export of conflicts data to include more detail

Problems Corrected

• SCR - Resolved issue that caused SCR conflict export to abort in some instances.  If attempting to export a very large number of conflicts, the export may still abort.  If this occurs, users will want to select a sub-set of records, examples is by gender and try again with 2 smaller selection sets.  Additional updates will be made in future releases to resolve the overall problem.

• SOES - If a record gets set to inactive and that record had a resident district review flag set on it, the flag will now be eliminated.  The red flag indicating a resident district challenge is no longer effective with the inactive status on the overall record..
• SOES - Added additional strike through to the displays so all detail related to an inactive record shows as such.  This change will make it visually more clear which are the current or active records and which are not.
• SOES - Updated the sort of the records displayed in the student detals pop-up and the student summary listing.  The records will now sort by active status, then inactive status, then by date within the status category.  The most recent records will sort to the top of each category.
• ODDEX - By default comments entered are shared with all other ODDEX users that have access to the SSID.  A change was made so when entering comments within the application, the user will have the option of making a comment unshared.  To mark a comment unshared, the user should uncheck the "Shared" box.   When marking a comment as unshared, only those within the writers entity will see the comment.  No others users will see the entered comment. 
• Calendar - Temporarily inactivated the calendar features.

Problems Corrected

• SOES - Corrected a problem with the data import routines that prevented the addresses from updating when a student had an inactive record.
• SOES - Corrected a problem that caused a stack dump when sorting by active or inactive status.
• SOES - Corrected an issue when using the drop down to select records modified since last review.  This query was taking an extreme amount of time to complete or would not complete with an error displayed.  This problem was especially noticed by larger districts.  Changes were made to improve this query and to prevent the errors.

• SOES - Modified export of data for Resident Districts to include all data, not just the data elements being viewed on the screen.  Districts can access this using the 'Export' button.  This full data export is a replacement for the partial data export that existed in prior versions of the application.  The data is exported to a file named SOES_RES_EXPORT.TXT and is still in a tab delimited format for use with spreadsheet software. 
• SOES - Modified Community School views to now include a link to list the Audit records for a student's Educating records.  The audit icon appears on the detail pop-up and when selecting this icon, a new pop-up occurs that lists the audit records available.
