Timesheet Approval


Supervisors will be able to approve their staff’s timesheets via the home screen or the Timesheet Approval option on the menu (below). Once a timesheet has been approved or rejected, it will be removed from the timesheet approval grid (as well as the ‘timesheet approval’ grid on the home screen)

Role: Users with Timesheet Approver, District Manager or Admin roles.

View a Timesheet

If you prefer to view the details of a staff member’s timesheet before approving it, click on image-20240509-210708.png . It will open a window containing their timesheet details. Supervisors have the options to edit, reject or approve their staff’s timesheet which are displayed at the bottom of the screen.

  • Edit: Click ‘edit’ to open the timesheet in order to make any necessary changes. Click ‘Save’ to save any changes.

  • Approve: Once you click on approve, a pop-up confirmation window will appear providing a note area to optionally enter a reason for the approval. Click Approve. If there is another approver in the workflow, the timesheet will move onto the next approver. The originator will be notified via email that the timesheet has been approved. The timesheet will remain as a status of ‘initiated’ in their ‘My Timesheets’ grid until it has been through the entire approval workflow, at which time the status will be updated to approved. The originator may open the timesheet to view the ‘Timesheet Approval Trail’ which will include the approvers who approved the timesheet, optional notes they entered, and the date/time the timesheet was approved.

  • Reject: A pop-up confirmation window will appear providing a note area to enter a reason for the rejected timesheet. Click Reject.

Mass Approve or Mass Reject Timesheets

Click on one or more checkboxes to the left of each staff member listed to approve or reject their timesheet(s). Click Approve or Reject. By taking this action, it will automatically approve or reject the timesheet without providing the ability to enter a note prior to submitting it.
