Manual Checks
To access the program go to Payments>Manual.
The Manual Payments tab has the Create, Void and Unvoid features. The Manual Payment Checks tab offers the Re-issue, Print Checks and Resequence options.
Manual Checks for an Employee
To create a Manual Check for an Employee, under the Manual Payments tab click 'Create'
Manual Check Type - Click Employee Check.
Find the Employee.
Bank Account -Select Bank Account from drop down if different that Default.
Check Number is defaulted to the next available payroll check number.
Date -Select from calendar or manually add.
Enter the Amount of the Manual Check (ex. 100.00)
A description or note can be added using the Memo Line (52 characters allowed)
Click 'Save' to create the check. A confirmation message will display stating the manual check was created successfully.
Manual Checks for a Payee
To create a Manual Check for a Payee, under the Manual Payments tab click 'Create'
Manual Check Type-Click Payee Check.
Select the Payee.
Move the Payroll Item Configuration item(s) you wish to pay to the select box on the right.
Bank Account -Select Bank Account from drop down if different that Default.
Check Number is defaulted to the next available payroll check number.
Date -Select from calendar or manually add.
Enter the Amount of the Manual Check (ex. 100.00)
A description or note can be added using the Memo Line (52 characters allowed)
Click 'Save' to create the check. A confirmation message will display stating the manual check was created successfully.
Manual Check for Other
To create an 'Other' Manual Check, under the Manual Payments tab click 'Create'
Manual Check Type-Click Other Check.
Enter the name you want on the payment in the Name on Payment field.
If you want a second name on the payment enter in the Second Name on Payment field.
Enter in the Street1, Street2, City, State and Postal Code information in the respective fields.
If a foreign address check the Foreign Address box and enter in Province and Country.
Bank Account -Select Bank Account from drop down if different that Default
Check Number is defaulted to the next available payroll check number.
Date-Select from calendar or manually add.
Enter the Amount of the Manual Check (ex. 100.00)
A description or note can be added using the Memo Line (52 characters allowed)
Click 'Save' to create the check. A confirmation message will display stating the manual check was created successfully.
Voiding a Manual Check
To void a Manual check:
click on the box next to the check number and then click the Void button.
Enter in or use the pop-up calendar to populate the Void Date.
Click the 'Confirm' button.
A message confirming the check was voided is displayed.
Unvoiding a Manual Check
To unvoid a Manual check:
click on the box next to the check number and then click the Unvoid button.
You will see that the Voided Date that was displayed previously is removed and this check is now unvoided.
Re-issue a Manual Check
To reissue a check, click on the Manual Payment Checks tab:
click the box next to the check you wish to reissue and click the 'Re-issue' button.
Choose the Bank Account from the drop down button.
Leave the New Check Number field blank. A new Check Number will automatically populate based on the last highest check number used.
Enter in or use the pop-up calendar to populate the Reissue Date field.
Click the 'Confirm' button.
A message confirming the reissue process completed successfully is displayed.
Print a Manual Check
To print a manual check(s), click on the Manual Payment checks tab:
Click the box next to the check(s) you wish to print and click the 'Print Checks' tab.
Choose the appropriate Output Format.
The File Name will populate accordingly with either Checks.xml for a xml file or Checks.pdf for a pdf file.
If using the PDF format, select the Form from the drop down.
Click Process Payments
Click Done.
Transfer the file to your printing software to print out the check(s).
Resequence Manual Checks
To resequence a manual check(s), click on the Manual Payment checks tab:
Choose the Bank Account from the drop down button.
Enter in the Original Start Number and the Original End Number.
Enter in the New Start Number.
To void old checks click the box next to Void Old Checks.
Enter in or use the pop-up calendar to populate a Void Date.
Click 'Validate' to view the process before completing. A validation message will be displayed.
Click 'Post' to complete the resequencing process.
A message confirming the process completed will be displayed.
